
West Plaza is a 3-star hotel in Bucharest, offering professional services but also an intimate atmosphere to business travelers and tourists visiting or transiting the “Little Paris.”
The hotel's 27 rooms combine modern and classic elements, providing amenities that are characteristic of higher-category accommodations. The accommodation services are complemented by meeting and conference rooms and the Trattoria Vivaldi restaurant.
Business Challenges
West Plaza Hotel representatives used to utilize traditional software (installed on a local server) to manage their 27 rooms. This required expenses for IT equipment and staff training.
Moreover, data had to be manually entered, and the software wasn't synchronized and integrated with other applications they used, especially the one for managing the restaurant.
The need for a Cloud-based PMS that would simplify their daily hotel and restaurant operations, register online bookings, loyalty programs, and customer consumption at the restaurant directly into their accounts, as well as being easy for employees to use without requiring lengthy training, led them to choose Pynbooking.
Solution
Based on the team's requirements, West Plaza decided to implement the Pynbooking platform for comprehensive management of the hotel and restaurant. The project elements included:
- A Cloud Hotel PMS for automatic booking registration, data storage, management, and security, thereby eliminating the risk of errors.
- Development of a new website integrating a Booking Engine for online reservations.
- Export invoices directly from Pynbooking to the SAGA accounting software.
- Integration of a smart lock system, eliminating the need for traditional keys.
- Integrating a Restaurant POS so waitstaff can take orders directly from a phone/tablet and instantly send them to the kitchen/bar.
- Integration of delivery through Uber/Glovo.
Results
The solutions proposed and implemented by the Pynbooking team resulted in cost savings by moving away from the old management software. With the Pynbooking platform, all data (reservations, prices, availabilities) are updated in real-time and accessible from any device, regardless of the user's location.
Repetitive tasks of employees (such as redundant data entry) have been eliminated through automation, which enhances work efficiency.
For management, performance indicators are easy to establish and monitor.
The Pynbooking platform is also used in the restaurant and is integrated with wireless cash registers, access systems, and accounting software. The waiting time in the restaurant has been reduced, and orders can be securely paid with a card, thereby increasing the overall guest satisfaction level. Thanks to the digital menu, the restaurant is heavily promoted to increase online orders.
